Secretary / Administrative Assistant

General Secretariat, Directorate General for Legal Affairs and Directorate General for Human Resources (SG-JU-RH) - Legal Support for Lending Operations in Europe (JUII) - Operational Policy, New Financial Instruments (POL). The (Senior) Secretary/Administrative Assistant will coordinate, oversee and perform a wide range of office support and secretarial duties for the Division and provide administrative assistance to Legal Officers in the negotiation process of the Bank's agreements with the Commission and in the drafting of contract templates

Responsibilities

Ensure overall administrative and documentation follow-up for new products and memoranda of understanding

  • Ensure the collection of all necessary information for new contracts
  • Conduct research using Electronic Data Management, specialised databases and intranet and collate information
  • Serve as a liaison with other Divisions in JU and provide information and as a primary point of contact with Commission and national or international bodies on administrative issues related to the agreements negotiated by the Legal Officers of the Division
  • Organise the Division's document classification and make suggestions to improve key records management processes
  • Provide editorial support and ensure quality control of all outgoing documents
  • Ensure the administration of the Division's mission and budget
  • Contribute to the maintenance of the Intranet site
  • Assist in preparation, finalisation and distribution of letters, notes, complex reports, graphs, and presentations
  • Prepare draft correspondence, attend meetings and drafts minutes
  • Ensure appropriate training to new colleagues and adequate knowledge

  • Qualifications

    • Certified secondary-level education with secretarial training
    • At least five years' relevant professional experience. An experience in documentation management would be an advantage
    • Specialised knowledge/skills in document searches and classification
    • Knowledge and experience in the use of webpage-making software and search engines would be an advantage
    • Good knowledge of the standard office tools, particularly Word, Excel, Powerpoint
    • Excellent knowledge of English and good command of French
